Google Review Response Templates
By Business Review Hub · Updated October 19, 2026
A useful review response acknowledges what the customer said and gives them a clear next step when needed. These five original examples are starting points for local businesses, not customer testimonials. Replace every bracketed field and check the facts before posting.

How to reply to a Google review
Sign in to the account that manages your verified Business Profile, open Read reviews, and choose Reply for the review you want to answer. Google provides the current steps in its guide to managing customer reviews. Remember that your reply is public.
Read the full review, identify the main point, and write for both the reviewer and the next person considering your business. Keep the response specific and professional rather than inserting unrelated services or search keywords.
Positive review with a specific compliment
Use the detail the customer actually mentioned. Avoid adding a service or location they did not discuss.
Thank you, [Name]. We are glad [specific detail from the review] made your visit a good one. We appreciate you choosing [Business Name] and taking the time to share your experience.
Five-star rating without written feedback
Keep it brief. A star rating does not tell you what the customer bought or how the visit went.
Thank you for the five-star rating, [Name]. We appreciate your support for [Business Name].
Mixed feedback about a long wait
Acknowledge both parts of the review. Do not claim you have changed staffing or fixed the problem unless that is true.
Thank you for the feedback, [Name]. We are pleased you enjoyed [positive detail], and we are sorry the wait affected your visit. Please contact [business contact] so our team can learn more about what happened.
Negative review about service
Respond to the concern without arguing. Check the facts internally and move details of the complaint to a private conversation.
Thank you for bringing this to our attention, [Name]. We are sorry to hear about your experience with [concern described in the review]. Please contact [business contact] so we can understand what happened and discuss the next steps with you.
Low rating with no explanation
Invite context without inventing a complaint. Avoid discussing customer records publicly.
Thank you for your feedback, [Name]. We would appreciate the opportunity to understand your experience. Please contact [business contact] so our team can listen and follow up.
An AI prompt for a first draft
Give the model only the public review text and facts you have checked. Do not include private customer records. This prompt helps keep a draft within those boundaries:
Draft a short, professional reply for [Business Name] to this public review: [Review Text]. Use a [Tone] tone. Acknowledge the specific feedback. Use only these verified facts: [Facts]. Do not invent a resolution, offer a refund, repeat private information, or add SEO keywords. If follow-up is needed, use [Public Business Contact].
Review the output before publishing. Business Review Hub's Reply Agent is designed to help generate review responses. Compare plans to find the features that fit your business.
Check every reply before it goes live
- Does it address the review rather than a guessed version of events?
- Have you replaced placeholders and confirmed names and contact details?
- Does it avoid disclosing private information or promising an unapproved remedy?
- Would it still sound respectful to someone reading it without context?
If you believe a review violates Google's policies, use Google's reporting process. Disliking a review does not by itself establish a policy violation.
